Ever booked an exhibition stand and had no idea what it would actually look like until it arrived?

Exhibition stands are one of the easiest things to get badly wrong, because most of the decision happens before you've seen anything real. You're choosing between suppliers based on a brochure, a rough quote, and a promise.


Here's what to actually check before you commit, and the signs that a supplier is going to leave you standing on a half-built stand the morning of the show.

1. Start With the Brief, Not the Brochure

Before you even start comparing suppliers, get clear on what you actually know. Your stand size or shell scheme allocation, your brand guidelines, and what you actually want to achieve on the day all shape what a good supplier will recommend, and a supplier worth using will ask about all three before quoting you a price.


If you don't know your exact dimensions yet, that's normal, especially early on. A good supplier will work with what you do know and refine the design once your official allocation comes through from the show organiser. If a supplier needs everything locked down before they'll even talk to you, that's usually a sign they're not set up to handle a real brief.

2. Ask to See the 3D Visualisation First

This is the single biggest thing to check, and it's the one most suppliers quietly skip. Most exhibition venues have rules around stand height, materials, rigging restrictions and fire safety certification, and getting this wrong means your stand gets rejected on setup day, in front of your team and your client, with no time left to fix it.

5. Bundle the Stand With Branding and Design

If you need a logo refresh, exhibition graphics, or a proper brand identity alongside the stand itself, it's worth briefing all of it in one go rather than sourcing your stand from us and your branding from somewhere else. 6. Red Flags to Avoid

A few warning signs worth watching for when you're comparing exhibition stand suppliers:

  • No 3D visualisation offered before production starts
  • No mention of venue build regulations or structural sign-off
  • Vague on what's actually included in the quoted price
  • Can't tell you whether the stand can be reused at future events
  • No UK-based support contact for setup day issues
  • Won't work from your own designer's artwork if you already have one

If a supplier can't show you the stand before they build it, they're asking you to trust them with your brand's biggest day of the year.
